The best BOQ software for your team is the one that produces a reviewable bill of quantities from your actual project inputs. Test quantity traceability, units, scope gaps, revisions and exports before judging automation speed.

What does a bill of quantities contain?

A bill of quantities (BOQ) organises descriptions of work, units and quantities so the scope can be reviewed and priced. A priced version also includes rates and amounts. The measurement basis, drawing revisions, assumptions and exclusions matter as much as the total. A plausible total does not establish that the scope is complete.

Separate takeoff, estimating and AI drafting

Takeoff measures quantities from project information. Estimating applies rates and other cost assumptions. AI drafting can help organise descriptions or propose items, but those suggestions are not verified measurements. Ask which part the software actually performs and which input each output relies on. Do not use an automatically generated bill as an approved tender or procurement instruction without the appropriate professional review.

Use the same sample brief for every demo

Choose a small, authorised sample with a drawing revision, a scope description and a few deliberately unresolved items. Do not upload confidential drawings before reviewing the vendor’s data terms. Record what the tool derives, what it asks you to supply and what it silently assumes.

A simple check that catches a unit error

Illustrative example: a rectangular floor measuring 6 m by 4 m has an area of 24 m² before applying any project-specific measurement rules. If a draft lists “24 m” of flooring, the number looks plausible but the unit is wrong. Check dimensions, openings, exclusions and the agreed measurement method. Keep any waste allowance separate and label it; do not hide it inside a quantity.

Check measurement conventions before buying

Agree the measurement rules required by the project and contract. RICS publishes NRM 2 for detailed measurement of building works; this does not mean it applies to every project or jurisdiction. Ask your quantity surveyor which convention is appropriate, and test whether the software can support that workflow.

Make the purchase decision explicit

  • Have the estimator review the sample output and record material errors.
  • Check access controls, retention, deletion, export and support terms.
  • Confirm pricing based on your expected projects and users, including any usage limits.
  • Record unsupported requirements instead of treating roadmap promises as available features.
  • Choose a short, agreed evaluation before moving live estimating work.
